Job Description

Job Title: Medical Event Operations Specialist

Location: Remote with 25% Domestic Travel Required

Duration : 2 years

About the Role:

We are seeking a detail-oriented and dynamic Meeting Planner to manage the end-to-end planning and execution of Medical Education programs, including Advisory Board Meetings and Innovation Councils. This role will serve as a trusted partner to our internal teams and ensure the seamless delivery of high-quality, compliant events that enhance customer experience and support strategic objectives.

Key Responsibilities:

  • Plan and execute events (40–100 attendees) from concept to completion, including venue sourcing, AV coordination, F&B planning, transportation, event tech, and onsite support.
  • Manage event budgets, RFPs, contract negotiations, and vendor relationships.
  • Oversee attendee registration, communication, travel coordination, and logistical details.
  • Ensure all programs comply with healthcare regulations, Open Payments reporting, and internal code of conduct policies.
  • Conduct site visits, lead pre-event meetings, and manage post-event reporting and reconciliation.
  • Build strong relationships with hotels, production vendors, and key stakeholders.

Requirements:

  • 2–4 years of experience in event or meeting planning, preferably in the medical or healthcare industry.
  • Bachelor’s degree required.
  • Cvent and/or CERTAIN Event Management experience preferred.
  • Strong organizational and time management skills with attention to detail.
  • Ability to work under pressure, meet deadlines, and manage multiple priorities.
  • Excellent communication, interpersonal, and customer service skills.
  • Willingness to travel up to 25% domestically.

  • Proficiency in event reporting and reconciliation
  • Strong problem-solving abilities and flexibility to adapt to last-minute changes
  • Comfortable working cross-functionally in a fast-paced environment
